Position Description
In partnership with FIREFLY and other outside partner agencies, the FASD Administrative Assistant shall function as a part of the KCA/FIREFLY Child and Youth Developmental Services team to provide clerical and administrative support to the FASD program staff.
Position Title: FASD Administrative Assistant
Department: Developmental Services for Children and Youth
Salary: Dependent upon qualifications and successful probationary period
Term: Maternity Cover – 1 year full time
Location: Kenora—Firefly Location, Cameron Bay Children’s Centre, 820 Lakeview Dr.
Reports to: NWO FASD Clinic Manager
Duties and Responsibilities:
- Provide clerical and administrative supports to the FASD team
- Compile and edit reports for distribution for families and other agencies
- Provide receptionist duties including but not limited to, scheduling appointments and conference calls, booking a meeting space
- Sort and deliver incoming/outgoing mail
- Maintenance and troubleshooting for all copiers, fax machines, postage meters, etc.
- Assist with the preparation for scheduled clinics as required, including shopping for snacks/office supplies and monitoring gift cards and receipts
- Operate two separate electronic medical data bases – Mustimuhw and EMHware
- Attend training and meetings as required
- Additional duties as required
Qualifications:
- College diploma in Business, Office Administration or equivalent combination of education and experience
- Must have good working knowledge of Adobe Pro, Microsoft Office (Outlook, Word, Excel, PowerPoint, Publisher)
- Excellent written, oral, interpersonal and presentation skills
- Excellent organizational skills and the ability to work independently
- Excellent problem solving and analytical skills
- Must be able to maintain strict confidentiality

- Valid driver’s license and vehicle
