Position Description
Support Services Associate will assist in developing and implementing organizational initiatives to support accreditation and regulatory compliance by maintaining and improving quality standards throughout the organization. You will be part of the Support Services Team and under the direction of the Data/Intake Services Manager, you will work with colleagues to analyze, expand, standardize, and explore ways to maintain quality and data initiatives at Kenora Chiefs Advisory.
This is a generalist type of the role where the successful candidate will take a lead on two of the functions and be a secondary contributor to the other functions like Accreditation, Quality Assurance, Privacy implementation – concerns/breach process, staff training, Quality Improvement, Data collection, analysis, and reporting, EMR configuration, maintenance, staff training and support and Program Intake for Mental Health and Addictions.

Summary of Duties
Support quality improvement and assurance
- Serves as a liaison between accreditation / regulatory bodies and the organization
- Serve as an organizational resource and leader in accreditation and regulation
- Will Serve as an organizational resource and leader in accreditation and regulation
- Support the work in the development and implementation of quality improvement plans
- support management by developing, generating, analyzing, and interpreting extracted information
- Assist in developing, implementing, and maintain a quality assurance program that aligns with organization goals and objectives
- Assist in data improvement, integrity, and comparability by developing or using tools that identify, track, correct and prevent errors
- Identify and document any quality issues or defects, and work with the appropriate department to implement corrective actions
- Develop and maintain quality assurance documentation, including policies, procedures and work instructions
Supporting the Privacy Program
- Assist in Building and maintain a strategic and comprehensive privacy program that defines, develops, maintains and implements policies and processes that enable consistent, effective privacy practices which minimize risk and ensure the confidentiality of protected health information by adhering to PHIPA and PIPEDA
- Ensures privacy forms, policies, standards, and procedures are up to date
- Oversees, develops and delivers initial and ongoing privacy training to the workforce
- Establishes and administers a process for investigating and acting on privacy and security complaints
- Performs or oversees initial and periodic information privacy risk assessment/analysis, mitigation and remediation
EMR Support and Education
- Solidify and implement EMR onboarding and offboarding processes
- Facilitate staff onboarding and complete staff offboarding
- Ensure new staff have access to workstation, scanner and printer for use when accessing EMR
- Maintain up to date list of EMR users, periodically monitor staff changes
- Create training tools and maintain record of training provided
- Provide and coordinate training of new and existing staff according to their roles and follow up on action items coming out of the training sessions
- Maintain EMR user manuals library and keep up to date
- Be aware of system issues and communicate those with staff effectively
- Support staff to resolve issues with EMR, coordinate between MIS and KCA Helpdesks
Qualifications
- 2 years’ experience in healthcare compliance and regulatory activities
- Ability to teach/train others at all levels of skills. Understanding of adult learning principles and training methodologies
- Positive and supportive interpersonal skills and attitude, ability to interact successfully with providers and staff
- Knowledge and experience in provincial and federal information privacy laws, including but not limited to PHIPA and PIPEDA
- Excellent organizational skills, adaptability to varying schedules, and ability to work in a very fast-paced and changing work environment
- Work experience in First Nations communities/Health Organizations is considered an asset
- Knowledge of the Anishinaabe culture, values, beliefs, and language is considered an asset
- Post-secondary degree or diploma or equivalent work experience (education, health care, information management or computer-related field)
